Steel Building Kit Delivery and How to Inventory Every Part

A 40x60 steel building kit usually arrives on one or two flatbed trailers carrying somewhere between 9,000 and 14,000 pounds of frames, purlins, panels and boxed hardware.

A 40x60 steel building kit usually arrives on one or two flatbed trailers carrying somewhere between 9,000 and 14,000 pounds of frames, purlins, panels and boxed hardware. The driver will give you about two hours to get it off the truck before detention charges start, often 75 to 100 dollars an hour. What you do in those two hours, and in the two days after, decides whether your crew spends assembly week building or waiting on a missing clip.

I have stood next to a lot of trucks on delivery day. This is the steel building kit delivery and inventory routine I hand to every owner before their shipping date.

Steel Building Kit Delivery Prep Before the Truck Arrives

Most manufacturers call 24 to 48 hours ahead with a delivery window. That is too late to rent equipment in a busy month, so book it when the shipping date is confirmed, not when the driver calls.

  • Lifting equipment. A telehandler or a forklift rated for at least 5,000 pounds with 6 foot forks. Main frame bundles on a 60 foot span can run 2,000 pounds or more.
  • Dunnage. Twenty or so 4x4 or 6x6 timbers to keep every bundle off the ground. Steel sitting in mud or grass for a week starts staining.
  • A clear staging area. Level, drained ground beside the slab, close enough to reach with the lift but not in the path you will need for the frame erection.
  • Two people plus the operator. One reads the bill of lading and one checks bundles while the operator unloads.

Reading the Bill of Lading Before You Sign

The bill of lading lists bundles, not individual parts. It might say 31 pieces, meaning 31 bundles, crates and loose members. On delivery day you confirm that count and note visible damage, nothing more.

Walk the load before a single strap comes off. Photograph each side of the trailer, then photograph every bundle as it lands. If a panel bundle has a crushed corner or a frame column is bent, write it on the bill of lading in plain words, such as "bundle 14 panels crushed at north end," and have the driver initial it. A signature without notes tells the freight carrier you received everything in good condition, and most claims die right there.

Unloading Order and Staging That Saves You Later

Think about the assembly sequence while you unload. Frames go up first, so stage columns and rafters closest to the slab and in the order they appear on the erection drawings. Purlins and girts go behind them. Panels, trim and boxed hardware go furthest out, ideally under a tarp or in a container.

Panel bundles need slope and air

Set panel bundles on dunnage with one end raised a few inches so rain runs off. Wet panels stacked flat and tight trap water between sheets, and within two weeks you can get white rust on galvanized or dark staining on painted faces.

Keep hardware dry and together

The boxes of screws, bolts, closures and sealant are small and easy to lose. Put them in one locked shed, truck or container.

The Two Day Inventory That Actually Works

Every kit ships with a detailed packing list, sometimes called a shipping list or parts list, that matches the part marks stamped or stenciled on each member. Within 48 hours of delivery, and before you start erection, check that list line by line. Many suppliers give you a short window, often 5 to 10 days, to report shortages. After that, a missing part becomes your purchase.

  1. Sort frames by mark number and count them against the list. Measure one column and one rafter of each mark with a tape.
  2. Count purlins and girts by length. Lengths are close enough to confuse, so a 24 foot 2 inch girt and a 25 foot girt look alike on the ground.
  3. Count panels per bundle and check color and length on the label against the order.
  4. Open hardware boxes and count bolt bags by size. Weigh screw boxes if counting thousands is unrealistic.
  5. Check trim pieces for both quantity and profile. Ridge cap, rake trim, corner trim and base trim are the items most often short.

Mark each line with a check, a quantity short, or a damage note. Send the whole list back to your supplier in one email with photos rather than calling about each item as you find it.

The Pieces Most Often Short or Damaged

ItemTypical problemWhy it happens
Trim and flashingBent or missing piecesThin gauge, shipped loose or on top of the load
Foam closuresWrong profilePanel profile changed after the order
Anchor boltsShipped earlier and forgottenOften sent ahead for the slab pour
Bracing cables or rodsShort countPacked in a separate crate
End panelsScratched paintRubbing during transport

The anchor bolts deserve a note. They are often shipped weeks before the main kit so the concrete crew can set them, which is part of preparing a site pad before your steel kit arrives. Do not report them missing until you confirm they were not already cast into your slab.

Why You Should Not Start Building Right Away

The common advice is that a crew should start standing frames the day the kit lands, since equipment is rented and momentum matters. I disagree, at least for a first time owner.

Starting before the inventory is finished means you find shortages in the middle of erection, usually on day three when you reach the roof purlins or trim. Replacement parts commonly take one to three weeks to ship. Spending one extra day counting before you begin can save a ten day stall later.

If you are planning a crew build, the sequence in our guide to DIY steel building kit assembly assumes the inventory is complete before anyone touches a bolt.

Filing Damage and Shortage Claims Cleanly

Freight damage and factory shortages go to different people, and mixing them up slows both.

  • Freight damage visible at delivery goes to the carrier, through the supplier if they arranged shipping. Your noted bill of lading and photos are the evidence.
  • Concealed damage found when you open a bundle must usually be reported within 5 days. Photograph it before you move anything.
  • Shortages and wrong parts go to the manufacturer. Reference the order number, the part mark and the packing list line.

Keep one folder, paper or digital, with the order confirmation, drawings, bill of lading, photos and every email.

FAQ

How long does it take to unload a steel building kit?

A 30x40 kit with a good forklift operator usually comes off in 60 to 90 minutes. A 40x60 or larger kit on two trailers can take three hours, so ask the supplier how much free unloading time the carrier allows.

Can I unload a kit by hand without a forklift?

Small carport or garage kits under 20 feet wide sometimes can be unloaded piece by piece, but it takes six or more people and much longer. For anything with rigid frames, rent a lift. Dropped frame members are hard to straighten.

What if a frame member is bent at delivery?

Note it on the bill of lading, photograph it with a tape measure for scale, and do not try to straighten it yourself. Ask the manufacturer for a replacement, because a bent column may no longer meet the engineered loads on your drawings.

The Practical Takeaway

Treat delivery day as an inspection, not just a drop off. Book the lift early, note every visible problem on the bill of lading, stage parts in erection order, and finish the full packing list count within 48 hours. Then start building.
